  • Daily Productivity -How to be more productive in your work

1.Before doing anything be clear on what is expected from your work

  Every Work irrespective of individual there will be some expectation and output you need to perform or expected out of each individual. Some time you may like to do a certain activity or you may not like to do certain activities, but the expectation remains the same for you to complete the task. That is your 'Why' part - Why an individual is hired for a certain position in the first place. 

2.Create a master list  

List all the activities which you need to perform. Each and everything which you need to perform. Just do not look into the day but see a bigger picture weekly, monthly, quarterly and yearly. 
  • What is the task you need to perform- Daily report, 
  • Weekly reports-within a week certain report you need to send
    • Example a particulate report you need to send every Wednesday.
    • How things progressing on Friday weekly basis.
  • Monthly 
    • Twice a meeting with your boss.
    • One meeting with all stakeholders
  • Quarterly 
    • One training to complete ( 4 to complete in a year)
You got the idea right? list each and everything. You do not want to get this right first - but can add/remove as you move along. 

2.Categories your master list

Now Categories your master list as below 

  •    Daily task ( the task which you need to do or monitor daily). 
    • To monitor the defect rate of your project. 
    • How many hours the team has booked.
    • How many hits you Blog got
  • Day wise task 
    • Monday 
      • Weekly report to send 
      • Weekly meeting 
    • Tuesday 
      • Prepare for Wednesday reporting
      • Vendor meeting 
    • Wednesday
      •   Send mid-week report 
    • Thursday 
      • Meeting with boss 
    • Friday 
      • Team meeting - Planning for next week 
Note: Daily and weekly task which are repeated or routine task which you need to perform every day and every day of the week. This will be a clear picture of things in you plate and you will not miss anything. This will bring down the reminder mail from others to complete a certain task. 

 

3. How to handle ad-hock task, the task in fire fighting mode etc. 

One of the powerful technique available is the  Urgent-Important Matrix also called The Eisenhower Matrix. Why I said powerful? because this helps us how to handle each task on priority more importantly what task you need to focus more.

You will always have 4 tasks at any given point during your work 

  •  Important & Not Urgent 
    This is the place you need to spend most of your time. Example If you need to prepare a presentation to present to your company higher manager two weeks from now, then this task need to be under Important and not urgent. 

  • Important & Urgent 
This is the fire fighting mode, let say the example what we described above you forgot to do and now you have only one day to complete, then the task moves to this quadrant and you will be under pressure to complete this task.

Always remember If you well manage your Important & Not Urgent task, then you will have no or very less task under Important and urgent. 

A Very good performer will plan and manage Important and not urgent task very well, so he/She gets the time to do the task in an optimal level. Anything under pressure the quality will go down.
